There are many venues that require that you hire a wedding coordinator to ensure everything goes smoothly on your big day.  You might ask why, especially if the venue’s package includes an onsite coordinator.

The reason is the venue's site coordinator is typically responsible for the items pertaining to the venue and the venue only. They are not responsible for coordinating your outside vendors, making sure your ceremony is queued or that your speeches happen on time.

Hiring a wedding coordinator can significantly alleviate the stress associated with your wedding day, allowing you to enjoy your special day without worrying about the intricate details. A professional wedding coordinator handles everything from vendor management to timeline execution, ensuring all aspects of your wedding are seamlessly woven together. Their experience and meticulous attention to detail provide peace of mind, making the investment in their services invaluable.

When hiring a wedding coordinator, different companies will offer slightly different packages based on their experience and your overall wedding vision. But in general you should expect to receive the following services from your coordinator:

First, Creating or reviewing your wedding day timeline.  It is important your wedding coordinator takes the time prior to the wedding to either work with you to create your timeline or review your wedding day timeline with you, leveraging their vision and experience to foresee any potential issues. A great coordinator will let you know if they see any issues with the timeline and assist you in making logistics adjustments that will allow your day to run smoothly.

Second, Effective communication. The communication between you and your wedding coordinator is crucial. Through regular check-ins and open dialogue, you can ensure that your vision is clearly understood and executed flawlessly while also focusing on stress management. Effective Communication also includes what your coordinator is going to do. A coordinator is typically one person whose main priority is to oversee the day. They will communicate with you when tasks you are asking them to do could get in the way of their ability to ensure the day runs smooth.

Third, Connect with the vendors at least a week prior to ensure the vendors have and understand the timeline. It is important that your wedding coordinator communicates beforehand with the vendors, ensuring clear communication, so there are no surprises on site.  They can also address any last minute questions or concerns a vendor may have.

Fourth, Onsite coordination, Your wedding coordinator's main responsibility is to coordinate the wedding day. This means that they will be present to ensure the set-up aligns with your vision, happening in a timely manner, and answer any questions you or your vendors may have, facilitating smooth communication among all parties.  If you are getting ready in a different location than the ceremony and reception your wedding coordinator will more than likely be at the reception area and will not be responsible for the getting ready portion of your wedding.  If you want someone to assist the wedding party you will want to hire a second coordinator or a stylist.

Fifth, Onsite vendor management, your wedding coordinator is responsible for assisting the vendors with logistics, this could be with making sure the band is set-up in the right locations, or that cake is set-up on the right table. A coordinator is normally not responsible for the set-up, or accountable for any mistakes that a vendor makes. They are responsible to assist the vendors to ensure your day runs smoothly.

Your wedding coordinator understands that this is your big day, and they are dedicated to making it as memorable and stress-free as possible. They take care of all the behind-the-scenes tasks and unexpected issues that may arise, allowing you to focus on enjoying yourself without any worries.

The best part of having a wedding coordinator is they allow your day to run smoothly, enhancing your overall wedding experience.  You can enjoy time with your loved ones and friends while they ensure the set-up, and events run smoothly.  They manage the day so you do not have to.
